Do We Have Enough Staff? Using Workload Data to Inform Staffing Decisions

September 14, 2026
2:00 – 3:30 pm ET * Webinar
3:35 – 4:30 pm ET * After the Show * Talk with the Faculty Directly!

One of the most common challenges facing research administration leaders is determining whether current staffing levels align with the work that needs to be accomplished. Yet research administration work is often complex, variable, and difficult to quantify using traditional workload measures.

This practical webinar will explore approaches for assessing workload, evaluating staffing needs, and using data to support resource decisions. Participants will learn about different workload distribution and staffing models used across research administration offices, including centralized, decentralized, and hybrid approaches. The session will focus on identifying meaningful workload indicators, collecting and analyzing data, and translating that information into actionable staffing insights.

Whether you are building a business case for additional resources, evaluating team capacity, or seeking a more equitable distribution of work, this webinar will provide practical tools and examples to help you move from anecdotal concerns to data-informed decision making.

Through institutional examples and case studies, participants will explore strategies for answering critical questions: How much work do we really have? How is it distributed? How many staff members do we need? And what data can help us make those determinations?

Learning Objectives

By the end of this webinar, participants will be able to:

  • Identify common workload and staffing models used in research administration organizations.
  • Recognize quantitative and qualitative measures that can be used to assess workload and capacity.
  • Evaluate workload distribution across teams using data-driven approaches.
  • Develop strategies for determining staffing needs and supporting resource requests.
  • Apply workload analysis techniques to real-world research administration scenarios.

Format of webinar: 90-minute presentation, followed by 55 minutes of discussion.

NCURA webinars use the Zoom Webinar platform. To confirm that you are ready to participate, please test your browser before joining the webinar, or review the more detailed system requirements.
  • It is recommended that you use a PC or MAC with an updated Internet Browser either Google Chrome, Mozilla Firefox, Edge or Safari.
  • Make sure you have pop-ups blockers disabled in your Internet browser settings.
  • Wifi is not recommended. The problem with WiFi is signal strength can vary causing bandwidth to increase or decrease.
  • We recommend a wired connection. A wired connection gives a consistent signal and consistent bandwidth. A wired connection provides a better experience.
  • It's better for organizations with low bandwidth to only have the webinar running on 1 computer in a conference room than having 10 individual people running the session on 10 computers at their desks.
  • Audio (sound) is projected through your computer speakers. Be sure your computer is equipped with speakers so you can hear the presenters.
